CLIENT SERVICES COORDINATOR
Location: Dubai or remote

ABOUT THE ROLE
We are seeking a highly organised and proactive Client Services Coordinator to join our team. This role requires a detail-oriented individual who can manage project administration, build strong client relationships, conduct research, and coordinate various logistical and sourcing tasks. The ideal candidate will have excellent communication skills, a proactive mindset, and the ability to anticipate project needs. This position combines administrative support with client coordination to ensure smooth project execution and exceptional client service.
RESPONSIBILITIES
Project administration and support
Schedule and prepare agendas for client calls and meetings.
Maintain and update action and status reports for ongoing projects.
Document meeting minutes and workshop notes, organising them in a structured format.
Organise project filing systems, including folder structures, document naming conventions, and version control.
Perform quality checks for spelling errors, corporate identity compliance, and alignment with brief objectives.
Coordinate client-related logistics, including venue booking, print requests, and workshop set-up.
Create comprehensive project plans, schedules, and briefs.
Brief and manage resources in line with project requirements and plans, supporting traffic management processes.
Track job budgets accurately and ensure resources align with budgeted amounts.
Client relationship building
Contribute to brainstorming sessions with clear and thoughtful points of view.
Efficiently respond to and coordinate client requests. E.g. coordinating edits to newsletters, changes from designers, and other project adjustments.
Ensure follow-up on next steps with clients after meetings.
Communicate effectively and positively with clients verbally and in writing.
Anticipate project needs and provide structured recommendations.
Ensure client expectations are met regarding deliverables, timelines, and budgets.
Research and data gathering
Perform research and analysis on clients, including company size, products, and recent announcements.
Gather best practice examples to support project work and proposal development.
Create and structure research and benchmark reports for clients, such as Employer Brand comparisons.
Sourcing and cost estimates
Identify and obtain cost estimates from third-party suppliers for gifts, events, video production, print, and platforms.
Find appropriate imagery for projects from sources like Shutterstock.
Build strong relationships with preferred suppliers, securing favourable pricing and terms.
EXPERIENCE REQUIRED
Work experience: 2 to 3 years of experience in a client services, customer support, or administrative role.
Client interaction: Previous experience in managing client relationships and handling client inquiries and issues.
Administrative skills: Experience in administrative tasks, including scheduling, data entry, and report generation.
QUALIFICATIONS REQUIRED
Educational background:
Preferably a bachelor’s degree in business administration, marketing, communications, or a related field. Professional Certification that would be advantageous:
- In customer service or client relations are advantageous.
- Having CAPM or basic Agile PM understanding.
Technical proficiencies:
Microsoft Office Suite (Word, Excel, PowerPoint).
Task management tools (e.g. Asana, MS Planner, Monday.com, Trello)
Collaboration tools (e.g. Slack, MS Teams)
AI-enabled software (e.g. Chat GPT, Canva, Copy.AI)
Language skills:
Proficiency in English; Arabic language skills a plus.
